What is an electronic logbook?

An electronic vehicle mileage log is an accounting document used to record vehicle usage for business purposes. Simply put, if you are a business owner claiming VAT deductions and fuel cost reimbursements (the so-called mileage allowance) for using a vehicle for work, you must prove that the vehicle was actually used for business activities. This is usually done through a mileage log.

What must an electronic logbook contain?

Every logbook, whether paper or electronic, must include at least the following information:

  • Basic vehicle details (type of vehicle, registration number, average fuel consumption, date of first registration)
  • Date of the trip
  • Departure and arrival times
  • Departure location and destination
  • Odometer reading at the start and end of the trip
  • Purpose of the trip
  • Fuel consumption or number of liters used
  • For international trips, information about tolls and road fees
