What is an electronic logbook?
An electronic vehicle mileage log is an accounting document used to record vehicle usage for business purposes. Simply put, if you are a business owner claiming VAT deductions and fuel cost reimbursements (the so-called mileage allowance) for using a vehicle for work, you must prove that the vehicle was actually used for business activities. This is usually done through a mileage log.
What must an electronic logbook contain?
Every logbook, whether paper or electronic, must include at least the following information:
- Basic vehicle details (type of vehicle, registration number, average fuel consumption, date of first registration)
- Date of the trip
- Departure and arrival times
- Departure location and destination
- Odometer reading at the start and end of the trip
- Purpose of the trip
- Fuel consumption or number of liters used
- For international trips, information about tolls and road fees
Advantages of an electronic logbook:
- No risk of loss
- More accurate recording of kilometers traveled and the entire route
- Ability to display the trip in real-time
- Some apps also track refueling and fuel consumption
- Quick switching between business and private trips
- Tracks all driving style and speed data
- Provides quick overview of statistics and data export options
